Other Industry Groups - Demo

Paperwork from colleges and universities cover a wide range of applications. Documents can be arranged into groups that have a specific function, such as enrollment or student records. Each document has a specific purpose in the business process that the group it is included in must perform. When scanning and indexing these documents, it is important to have experienced professionals who are familiar with your applications and know how to select the proper fields for indexing. Important to the process, also, is proper preparation of those documents to be scanned. Spectrum Information Services proven project management practices adhere to the following procedure to insure that all documents are organized and ready for electronic imaging:

An inventory of each box is prepared that details what documents and folders to be scanned are in each box.

Bar coded documents are grouped together by logical category, such as student number, work order, or menu planning – for instance.

Scanning folders are then organized by properly marked and ordered boxes for electronic imaging.

Records to be imaged are quality controlled to insure that they are in the correct scanning folder.

The boxes of documents and records to scan are then grouped together into logical batches and batch numbers are assigned.

Each step in the recruitment effort generates at least one document – and often more. These documents must be kept together in an employee file indexed for fast and easy retrieval so personnel records can be updated and reviewed as required. Once hired, the employee file expands to include documents for:
verification of company and job orientation
employment contracts
authorization for benefit deductions as required
W9 forms
W2 forms
401K deduction and benefit forms
IRA payroll deduction forms
non disclosure agreements ( NDA )
emergency contact information

As employees become embedded in the organization, job activity and performance must be reviewed and recorded. These performance reviews and activity recordings must be kept under the control of an easy to use document management system if your HR department is to remain competitive and able to service both company and employee needs. Important documentation that should be scanned and imaged for electronic storage and retrieval includes:
employee training performance records
employee manuals
policy and procedure manuals
timesheets and project completion recordings
payroll records
expense reimbursement
benefit statements
paychecks and check stubs
vacation requests
emergency leave forms
performance reviews

As the employee life cycle draws to a close, having access to all employee records via instant electronic document or record retrieval will protect your firm from unnecessary litigation, labor board hearings, OSHA notifications and employment lawsuits. Further, controlling your HR Department administrative work flow with an electronic document management system will insure that you are in full compliance with all labor laws concerning:
notifications of termination
exit interviews
review of rehire policy
